Glass Order Processing

Gtrak Sales Order Processing is a fast, cost effective order processing solution for the small to large user. An order or quotation can be entered using the fast product entry system, checked, scheduled for production and delivery, then invoiced and archived for warranty. 

 

Gtrak has a concept of an "order life cycle", allocating each order with a status and tracking its progress through the order processing system, ensuring it does not miss any important stages. Only when an order is processed through a stage will it be released for the next (e.g. only checked or verified orders will be available to be scheduled for manufacture). There are also secure manual overrides for system supervisors, when required. 

 

Orders that require products or materials to be bought in are flagged automatically on entry, and only released for manufacture once purchase orders have been raised. Purchase orders can be printed, faxed or emailed or sent electronically to be imported by suppliers (See below). 

 

Documentation such as Order Confirmations, Purchase Orders, Delivery Notes and Invoices can be printed in batches or from individual orders. Order Confirmations and Invoices can also be sent via fax or email. Gtrak integrates with document management software for storage and retrieval of key documentation.

EDI Automated Order Transfer

EDI or Electronic Data Interchange is a method of transferring data from one software package to another. In the glass industry EDI is used by glass and window manufacturing software to send, receive and automatically input glass orders. Establishing EDI links with major customers and suppliers can greatly reduce administration costs and help provide better working relationships with customers and suppliers alike. 

 

JoTiKa have been at the forefront of EDI technology in the glass industry for many years, developing their first transfer for Everest in 1984. Although EDI capability has always been available to Gtrak users, the technology has only become more wide spread in recent years. EDI is now considered a fashionable commodity, used by sales representatives as a Unique Selling Point to gain business. In some cases customers are now requesting EDI, and proactively looking for suppliers that support it.

 

GTrak software has well established EDI links with major Window manufacturing software including Business Micros, First Degree and Windowmaker, as well as other glass processing software. 

 

Jotika have more recently added Pilkington Glass to the Gtrak EDI range. We have also undertaken commissions from major glass suppliers such as Kite Glass to establish links with mutual Customers: 

 

"JoTiKa have undertaken a commission from Kite Glass to establish an EDI link with a customer to allow the transfer of purchase order details without the need for additional order processing. The only paper communication needed is a fax to confirm the number of orders sent each day and the quantity of panels, as this ensures that no information is lost during the transfer process.

 

Whilst this is not the first automatic link that Kite Glass has established with one of their customers, this was a potentially difficult project as the system producing the orders is different to that accepting them. JoTiKa came up with a proposal that satisfied the specification and the end result is an easy to use solution that has considerably reduced administration time and allows for a greater number of orders to be processed without the need for additional staff or overtime."

   Georgian Bar Design

GBar is a standalone Georgian Bar design package, with links to Gtrak Order Entry. JoTiKa has inherited the software, making customer specific modifications to deliver a faster working system, in keeping with the markets increasing demand for reduced lead times on Georgian units.  

 

All essential information for the creation of a Georgian window, such as frame specifications, unit sizes, order details and customer references are imported from Gtrak order entry, erasing the need to input information twice on two separate systems.

 

GBar holds a wide range of frame layouts and has the ability to store any number of different profile dimensions.

The Frame Layout Manager offers a view of glass-to-glass distances, which highlights discrepancies between frame and unit sizes and can be edited to create frame layouts with little profile information.

 

The GBar wizard feature automatically applies Georgian Bar grids to frames on import from Gtrak by a set of rules defined by the user.

 

Georgian grids can be quickly designed on complex frames. A default Georgian size is applied to the master unit and lines through with adjacent units instantly. Individual horizontal and vertical bar positions can also be applied for replacement units to match an existing Georgian window. 

 

Users can view bar lengths and staple positions on screen and make quick adjustments using the Georgian toolbox.

 

A4 illustrations can be printed for customer approval or sent electronically via messaging software such as Tobit Faxware.

 

A selection of production reports are available including the production report with bar and staple/drill summary, Standard Georgian Print with component breakdown and grid assembly coding.

Leaded Unit Design

GLead holds a wide range of frame layouts and has the ability to store any number of different profile dimensions that are easily accessed from the details screen.

 

The Frame Layout Manager offers a view of glass-to-glass distances, which highlights in discrepancies between frame and unit sizes and can be edited to create frame layouts with little profile information.

 

Diamond grids can be applied to complex window systems, centering on the priority unit, entire frame, individual units or by horizontal and vertical co-ordinates.

 

GLead's template feature allows users to quickly create diamond grid templates, which prove handy for one-off jobs. Full-scale multi diamond print is available with numbered unit positions on a single diamond template, reducing the work area required to apply lead and saving on paper.

 

Rectangle Leads can be quickly designed on complex frames. A default rectangle size is applied to the master unit and lines through with adjacent units instantly. Individual horizontal and vertical spaces can also be applied for replacement units to match an existing leaded window.

 

The Rectangle Lead print provides a diagram including lead positions for application, whilst offering the ability to print a full-scale stencil.

 

Queen Anne designs can be applied to an existing rectangle grid by adding a diamond to any intersection. Various sized diamonds can be applied to create an effective Queen Anne design.

 

All lead modules provide A4 illustrations for customer approval that can be printed or sent electronically via messaging software such as Tobit Faxware. GLead also supports full-scale stencils printing for accurate lead application, using full-scale A0 plotter.

Graphical Shape Design & DXF Import

Gtrak3 Shape Entry is an easy-to-use graphical shape entry tool. Offering users access to a library of predefined shapes, the ability to create manual shapes and import shapes via DXF or DAT files.

 

Single or multiple shape DXF's are supported. The DXF import editor presents all shapes within a DXF file to the user, allowing them to select the shape they require. The import editor also provides tools to fix a poor quality DXF, if lines cross or the shape is incomplete, which prevents problems occurring during cutting. 


Internal and External steps can be applied to any edge. Each step can be set to a different size and the system will automatically make the necessary adjustments. 

 

Case Study:

 

"Manufacturing stepped shapes used to be a major issue for us. They were time consuming to process in the office and also difficult to manage on the shop floor creating frequent mistakes. By introducing an easier method of entering stepped shapes, accuracy has been improved, and significant time saved in the office. Also with more informative diagrams on checking sheets and glass labels, errors on the production of stepped shapes have been dramatically reduced."

   Order Enquiry / Searching

Customer order enquires are dealt with effectively using the order enquiry screen. Orders can be filtered by Customer, Order References, Order Date, Delivery Date, Order Type, Product, Process, Shape, Glass Size and Item Reference. Further sorts and moveable columns help to present data for a particular purpose.

 

Snap shots of order contents, conversations, attachments and order history allow operators to access order information quickly and provide the customer with the information they require.

 

Colour icons are used to highlight key product information such as Glazing Type (Single, Double, Triple, Stepped), Process (Georgian, Lead, Gas Fill) and Spacer Colour (Bronze, Super Spacer, Silver).

   Accounts and other financial links

Gtrak has established links with all major accounts packages including Sage, Pegasus and TAS Books. Posting to sales ledgers is an important part of order processing so we will always endeavour to link to any accounts software. 

 

Gtrak integrates with some accounting software to provide credit checking facilities. When a customer exceeds their credit limit the current order is placed on hold, and the customer is put “on stop” until the situation is resolved. All credit control notes and correspondance can be logged against customer records. Original purchase orders and signed delivery notes can be scanned and accessed quickly to further aid the credit control process. 

 

Single and multi-company accounting and multi-currency operation for EEC countries is supported.

 

For companies who factor their sales invoices, Gtrak already links with HSBC Bank, to export invoice information  whilst posting to accounts. New developments are always welcome, our factoring link can be adapted to suit any format required.

   Order Archiving

GArchive is designed for Gtrak users needing to store completed Orders for a long period. Whilst Gtrak can store similar volumes of Orders without any drop in performance, after a time functions such as Order Enquiry and some reports will display too many old records.

 

The order archive has the same powerful searching tools as order entry to offer rapid response when dealing with remake warranties. The archived data has a small foot print taking up little space on the data server or backup storage.

 

Secondary archives can be saved to removable disk, CD or DVD for offsite storage. Orders are then read directly from the external data source for document reprints, general queries or remakes. 

 

The main level archive is stored on the data server and is accessed by Gtrak reports for historical sales and profit analysis.
